Wesgroup is seeking a talented Receptionist & Office Administrator to join its Administration team. The Receptionist will be an integral part of the team, interacting with clients, handling calls, and assisting with office administration as required. This role will report to the Director of HR. This role will consist of, but not be limited to, the following:

Job Responsibilities:


  • Welcome visitors by greeting them, answering or referring inquiries
  • Answer and transfer incoming calls and maintain telecommunications systems
  • Retrieve and sort incoming mail, prepare outgoing mail and schedule, log and monitor couriers
  • Maintain an organized reception area and clean boardrooms after meetings
  • Update and maintain employee directory
  • Schedule meetings and book boardrooms as required
  • Manage office supply room including monitoring inventory and preparing weekly orders
  • Manage kitchen maintenance including ordering weekly food orders and ordering kitchen supplies and equipment
  • Provide administrative support to other departments including HR, Accounting, and A/P, as well as liaise with internal staff at all levels to resolve administrative inquiries
  • Assist with catering and special event planning
  • Complete administrative duties: scanning, photocopying, faxing, mailing, filing and retrieval of documents, referencing materials, maintaining spreadsheets, and ad-hoc tasks as required


Qualifications and Knowledge:


  • 1 – 3 years of reception experience or similar experience in an admin or support position in an office environment
  • Diploma in business administration, or an acceptable combination of education and progressive work experience
  • Excellent organizational, time management and prioritization skills including the ability to multi-task with competing priorities
  • Excellent understanding of business professionalism and the ability to work effectively under pressure within a fast-pasted team environment
  • Exceptional interpersonal and communication skills (both verbal and written) are required
  • Positive attitude and a desire to help others
  • Strong computer skills and proficiency in MS Office applications including Outlook, Word and Excel
