The Senior Construction Administrator is responsible for the administration and management of the contractual and administrative aspects of contracts awarded by Wesgroup for various subcontractors and projects. The Senior Construction Administrator also provides administrative support to the Senior Vice President, Construction as well as the entire construction team based both onsite and in the head office.

 

Job Responsibilities:

 

  • Interface with project teams to provide ongoing guidance
  • Prepare and issue letters, memoranda, and approval documents related to contractual matters
  • Prepare contract templates
  • Prepare and administer construction contracts, letters of intent, offer letters, etc.
  • Assist, set up, coordinate and transmit / register all project documents
  • Assemble project tender packages, contact and request subcontractors quotes, analyse and prepare quotes in detailed spreadsheet format
  • Prepare and process RFIs, Contract Amendments and Changes, and Change Directives
  • Participate in verifying contractors’ requests for release of holdback
  • Process documentation for contract close-outs
  • Attend project progress and review meetings as requested
  • Assume responsibility for a defined range of functions in the contract management database including data entry and construction of database
  • Manage construction files, both digital and hard copies including filing
  • Work with VP of Construction to streamline processes and department efficiencies
  • Assist with administration for site and office based construction team
  • Assist VP of Construction by maintaining, and organizing calendar, coordinating and preparing for meetings and/or events
  • Communicate effectively with various personnel to discuss, clarify and resolve contractual matters
  • Demonstrate a high degree of initiative and independence of action in completing assignments with minimal guidance ensuring that tasks are delivered in accordance with applicable policies, procedures and professional standards.
  • Other administrative and office services responsibilities as required

 

Qualifications and Knowledge:

  • Post-secondary education in Business and/ or Construction or Engineering
  • General knowledge of construction practices/terminology considered an asset
  • 2 + years of experience in a Construction or Project Administrator role
  • Excellent communication skills both oral and written
  • Proficient at an intermediate to advanced level with MS word, Excel and Power Point
  • Detail oriented and accurate in execution, ability to work well under pressure and with minimal supervision
  • Ability to use good judgement and shows initiative
  • Demonstrated analytical, organizational, and problem-solving skill
  • Thrives in a fast-paced work environment and maintains a positive frame of mind
